This privacy policy covers the following websites all of which are operated by GWI UK Holding Limited.
For the purposes of this privacy policy, these websites will be cumulatively referred to as ‘GWI UK websites’ or ‘our websites’.
Section One
Our core beliefs regarding user privacy and data protection

- Data is a liability, it should only be collected and processed when absolutely necessary
- We will never sell, rent or otherwise distribute or make public your personal information
Section Two
Relevant Legislation
The GWI UK websites have been designed to comply with the relevant sections of the following national and international legislation with regards to data protection and user privacy:
- UK Data Protection Act 1988 (DPA)
- EU Data Protection Directive 1995 (DPD)
- EU General Data Protection Regulation 2018 (GDPR)
Our compliance with the above legislation, all of which are stringent in nature, means that the GWI UK websites are likely to be compliant with the data protection and user privacy legislation set out by many other countries and territories as well. If you are unsure about whether this our websites are compliant with your own country of residences’ specific data protection and user privacy legislation you should contact our data protection officer (details of whom can be found in section 9.0) for clarification.
Section Three
Personal information that this website collects and why we collect it
The GWI UK websites collect and use personal information for the following reasons:
3.1 Site visitation tracking
Like most websites, our websites use Google Analytics (GA) to track user interaction. We use this data to determine the number of people using our websites, to better understand how they find and use our web pages and to see how they journey through the websites’ pages.
Although GA records data such as your geographical location, device type, internet browser and operating system, none of this information personally identifies you to us. GA also records your computer’s IP address which could be used to personally identify you but Google do not grant us access to this information. We consider Google to be a third party data processor (see section 6.0 below).
GA makes use of cookies, details of which can be found on Google’s developer guides. FYI our websites use the analytics.js implementation of GA.
Disabling cookies on your internet browser will stop GA from tracking any part of your visit to pages within our websites. For more information on how to do this, please see our cookies policy page.
3.2 Email links
Should you choose to contact us using email links like this one, none of the data that you include will be stored by this website or passed to / be processed by any of the third party data processors defined in section 6.0. Instead it will be sent to us using mail servers provided by either your own email provider or your internet service provider.
3.3 Contact forms
Should you choose to contact us using a contact form such as that found on a contact us page the data you include will be sent to the most relevant individual or department within our organisation via email and saved to a secure, web-based database. Once our staff team have responded to your enquiry the form submission details will be deleted from the database but may be retained within our email systems for auditing purposes.
If we have obtained your express opt-in consent, we may send you, or permit selected third parties to send you, specific forms of marketing, for example regarding other services or products. We shall make sure it is clear when you are able to give us permission to do this, for example, we have an online form and boxes that you need to tick if you wish to receive any such marketing materials. All our marketing emails have an active opt-out option on them. You have the right to withdraw your consent to receiving direct marketing at any time by contacting us directly or by clicking the unsubscribe link present at the end of every email with marketing material.
3.4 Job applications (www.freightliner.co.uk only)
Should you choose to apply for a job vacancy on the www.freightliner.co.uk website, the data that you submit, (including any files uploaded) will be sent to our HR department via email and saved to a secure, web-based database. The data you submit to us will be reviewed by a member or members of our HR department and may be copied to our internal systems for further review and to continue the processing of your application. After it has been reviewed by our team, your data will be deleted from both the email system and the web-based database.
3.5 Card details
We never store your full card details. All our website financial transactions are handled through our payment services provider, WorldPay. You can review the Worldpay privacy policy at https://online.worldpay.com/. We will share information with Worldpay only to the extent necessary for the purposes of processing payments you make via our website, refunding such payments and dealing with complaints and queries relating to such payments and refunds.
Section Four
How we store your personal information
Personal data submitted to our websites is stored on encrypted solid state drives on UK-based servers operated by one of the UKs leading website hosting companies (see section 5.0).
As outlined in section 3, all personal data that is stored by our websites is deleted once it has been used for the purposes for which it was collected for example once a contact form submission has been responded to or a job application processed.
Section Five
Website, database and Mail servers
5.1 Website and database server
The GWI UK websites and databse are all hosted within a Tier III data centre located in North London within the United Kingdom.
Some of the data centre’s more notable security features are as follows:
- 3m high perimeter fence
- Internal and external IP CCTV with complete site coverage
- 24×7, 365 on-site security team
- Manned vehicle entry gate to site
- Security bollards at building perimeter
- Full authentication & access policy control
- Biometric entry system
All traffic (transferral of files) between our websites and your browser is encrypted and delivered over HTTPS.
5.2 Mail servers
All email from our websites is sent from an @gwrr.email domain via SMTP mail servers provided by Sendgrid. Sendgrid aim to make the sending of email as secure as it can be and we follow all of their best practice recommendations to secure the emails that we send from our websites through their systems.
We consider Sendgrid to be a third-party data processor.
Section Six
Our third-party data processors
We use a number of third parties to process personal data collected by our websites on our behalf. These third parties have been carefully chosen and all of them comply with the legislation set out in section 2.0. US-based data processors are also EU-U.S Privacy Shield certified.
6.1 Google LLC
Used for website analytics as outlined in section 3.1. Privacy policy, EU-U.S Privacy Shield certification
6.2 SendGrid, inc.
Used to send all email from our websites as outlined in section 5.2. Privacy policy, EU-U.S Privacy Shield certification
6.3 Fellowship Productions Ltd.
The UK-based design and digital marketing agency responsible for building and maintaining the GWI UK websites.
6.4 Mailchimp

6.5 Worldpay
We use Worldpay’s secure online payments gateway to process all our website financial transactions. https://online.worldpay.com/terms/privacy
6.6 Nimbus Hosting Ltd.
The UK-based web hosting company used to host the GWI UK websites.
Section Seven
Data breaches
We will report any unlawful data breach of our website’s database or the database(s) of any of our third party data processors to any and all relevant persons and authorities within 72 hours of the breach if it is apparent that personal data stored in an identifiable manner has been stolen.
